1. Introduction

Tags are one of the most useful tools to filter your searches and create categories.


2. Pre-requisites

Before reading this manual, the following concepts must be clear:

  • user profile;
  • CRM;
  • sale;
  • clasess and courses;
  • documents;
  • services and resources;
  • ProShop items;
  • reports
  • wallet top-ups

3. Creation

To create new tags click on Settings -> Tags -> Add and fill in the following fields:

  • name: lable that identifies the tag 
  • colour: colour of the tag

The following fields are only available for specific types of tags:

  • access denied: if this option is selected, the system will prevent access to all those people with this tag in their user profile 
  • show on access: the tag will be visible during access (see image below as an example)
  • access message: you can combine the "access denied" option with a message that can be read on the display of the access control device in use (if the technology of the device allows it)
  • time value for user-profile anonymisation (GDPR): when specified, it indicates how long it will take before user profiles with this tag become anonymous (according to the GDPR) after the expiry of their membership. This setting will replace the default one. If a user profile has more than one tag with this option, the system will consider the smallest time value. Please consult the user-profile anonymisation manual fo the full procedure
documents
  • visible on the E-commerce: if this option is enabled, the documents the tag has been linked with will be visible on customers' E-Commerce profile 
courses
  •  visible in the Front-Office and Marketing environments: this option allows the following:
    • use tags during the sale of course enrolments to narrow the search
    • filter courses by tag during marketing searches



4. Tag Categories

Tags can be assigned to different categories


PERSON


PURPOSE OF THE TAG

  •  provide details about the person
  • manage promotions (for example automatic discounts for a specific category of users
  • prevent people with a specific tag from accessing the facility 
  • automatically make a user profile anonymous according to parameters that are different from the standard ones


HOW TO ASSIGN THE TAG

  1. click on Edit under the user's picture
  2. click on Notes and select the tag/s
  3. click on OK to save changes

 


CRM

PURPOSE OF THE TAG

  • differentiate the various types of CRM tasks
  • rapidly filter CRM tasks during marketing searches
     
  • make CRM tasks stand out in the user profile and the CRM dashboard

examples: 

  1. the "Spontaneous" or "Referral" tag can be assigned to the "Tour" task to discern who are the new customers who have been referred by other club members
  2. a tag can inform about the type of quote that has to be prepared for a client, or it can diffferentiate quotes for new customers from renewals

HOW TO ASSIGN THE TAG


insert the tag/s in the corresponding field during the creation/editing of a CRM task (in the CRM section of the user profile or in the CRM dashboard in the Front Office)


SALE


PURPOSE OF THE TAG


filter sold multipacks and courses (for this type of analysis please write to support@sportrick.com)

HOW TO ASSIGN THE TAG

  • if it's a course
    1. open the user profile 
    2. click on the name of the course
    3. click on Info (if the attendance is required more than once a week click on Detail next to the name of each course and then on Info)
    4. select the tag
    5. click on Save Changes
  • if it's a multipack
    1. open the user profile 
    2. click on the name of the multipack
    3. click on Notes
    4. select the tag
    5. click on Save Changes


CLASSES


PURPOSE OF THE TAG


provide info about specific classes of a course e.g.: Catch-up Class or Trial. The tag will be visible from:

  • the Classes section in the details of the course purchased by the user (in the user profile)  
  • next to the name of the customer in the list of attendees of the corresponding class, visible by clicking on the class slot on the Planning 
     


HOW TO ASSIGN THE TAG


  1. open the user profile 
  2. click on the name of the course
  3. click on Classes
  4. click on Detail
  5. select the tag
  6. click on OK


DOCUMENTS

PURPOSE OF THE TAG


filter document types which are not related with sales. 

The tag is mandatory to make these documents also available on customers' E-Commerce profile


HOW TO ASSIGN THE TAG


in the user profile, click on Documents -> Cloud Documents -> and choose the file to upload. Then select the necessary tag/s in the corresponding field. Please note that once you have clicked on OK the tag cannot be edited.

IMPORTANT: this section won't be visible if the activation with a cloud-storage provider hasn't been configured from the VAR portal. In order to proceed, please access the VAR portal and click on Managed Environments -> View More -> Configurations -> Integrations and then on the Connect button next to the desired integration. The system will ask you to insert the credentials of your cloud account, so be sure that you have created one first 


COURSES

PURPOSE OF THE TAG


filter courses (off-peak, pregnancy, members only...), for example during marketing searches or the creation of a multipack, when it is possible to group courses with common characteristics through a tag (e.g. off-peak times). This will save time, as it will be sufficient to click on the tag to add all the related courses rather than adding each activity one at a time

  • group courses according to specific characteristics (peak, off peak, requiring specific equipment, costing extra...):
  • during the sale of enrolments (in the picture below the off-peak tag has been selected to filter only courses taking place at off-peak times) 
  • during marketing searches 
  • during the planning of multipacks (only courses with a specific tag will be available for booking for people who purchased the multipack) 
  • the tag will be also visible in the detail of each class in the Timetable 

HOW TO ASSIGN THE TAG


there are two ways to assign tags to courses, the choice is merely personal, since the result will be identical:


  • from Planning -> Courses -> Course Summary:
    1.  select the season and click on Update
    2. it is recommended to select a bigger number of results in order to view them all in the same page. The search field can be handy to insert key words to help filter the desired courses. Clicking on the name of a column can also be useful to rearrange results in ascending/descending order. This can be a good trick to group courses from the earliest starting time to latest, in case the aim is to select those courses that take place in the morning, for example for off peak memberships
    3. once the desired courses have been selected, click on EDIT

    4. click on More and select the required tag/s. Then click on OK to save
  • from the detail of a class of the course in the Timetable:
    1. click on Timetable and then again on Timetable
    2. click on the slot of the class of the course
    3. select one or more tags and save
    4. click on the x to close the window. The tag will be applied to all the classes of that course at that time on that day of the week

      If you don't see the field to select the tag, you will have to access the VAR portal to enable it. From the VAR portal, click on Managed Environments -> View More -> Configurations -> Settings -> in the search field, insert the code 10134 and click on Modify -> untick "use default value" and select YES -> click on OK to save. 

Go back and click on the button labelled "Teams": the list of user groups will be displayed. Click on View Team Permissions next to the group that has to be allowed to manage tags and then click on the APP section. Write the word "tags" in the search field and select YES next to (Planning) Manage Classes Tags. Click on Save to complete the procedure


to add the desired courses into the multipack, click on Planning -> Multipacks and click on Detail next to the multipack. Open the COURSES section and select the tag/s, specify any credit that will have to be deducted for each booking (or leave 0 if there are no booking limitations) and then click on ADD. 

Customers who purchase this multipack will only be allowed to book the courses linked with the selected tag/s
