Introduction
The functionality related to the synchronization of the client profile allows certain information about a client to be sent to Mywellness CRM after their profile is created in Sportrick. Data synchronization can be fully automated or manually triggered by an operator as needed. Both options will be explained in detail below.
Automated Synchronization
The process described below allows the operator to create a client profile in Sportrick without the need for manual operations to synchronize the information in Mywellness CRM.
- Add the client in Sportrick from the Front-Office section > Directory > Add person.
- Fill in the mandatory fields for synchronization: last name, first name, gender, date of birth, and email address.
- Save the changes before exiting.
Once the client profile has been created in Sportrick, the integration will synchronize the client in Mywellness CRM. Additionally, the client will receive an email from Mywellness CRM to create their account, where they will also find instructions for downloading the application. If a client already has a Mywellness account, they will receive an email allowing them to link their account to the new club.
Manual Synchronization
The process described below allows the operator to create a client profile in Sportrick and manually synchronize the information in Mywellness CRM. This method can be useful for clients already present in the management system who require manual synchronization by an operator. To manually synchronize an individual client, follow these steps:
- Access the client profile from Front Office > Directory > and search for the desired client. If the client is new, add them as described earlier from Front-Office > Directory > Add person.
- Verify that the last name, first name, gender, date of birth, and email address are complete and correct. This information is mandatory for synchronization to take place. If the client is new, complete the mandatory fields for synchronization: last name, first name, gender, date of birth, and email address.
- Once the client information is saved, go to the Shortcuts section > Configure integrations.
- Select the Technogym App integration from the menu and click OK to confirm synchronization.
At this point, Sportrick will synchronize the client in Mywellness CRM. Additionally, the client will receive an email from Mywellness CRM to create their account, where they will also find instructions for downloading the application. If a client already has a Mywellness account, they will receive an email allowing them to link their account to the new club.
Synchronization with Registration from Sportrick Web Portal
When a client's registration comes from the Sportrick integrated registration portal (Sportrick Web Registration) and the center wants to synchronize the information in Mywellness CRM, there are several options depending on the registration permissions configured in the online registration form.
- (recommended setting with active Technogym integration) After configuring the registration portal in "ApproveAndCreate" mode, once the registration request is accepted from the Sportrick Back Office, the operator will not need to perform any additional operations as the synchronization will be done automatically. Once the client's profile is created in Sportrick, the integration will synchronize the information in Mywellness CRM. Additionally, the client will receive an email from Mywellness CRM to create their account, where they will also find instructions for downloading the application. In the event that a client already has an active Mywellness account, they will receive an email allowing them to link to the new club.
- If the "WithApproval" or "Free" mode was chosen, when the client's data is approved/entered into the system, the operator will need to manually activate the synchronization from the Shortcuts section -> Configure integrations.
For more information on configuring Sportrick Web Registration, please refer to the specific documentation on Portal Configuration for Online Client Registration.
Final Synchronization Outcome
Regardless of the chosen synchronization method, the appearance of a cloud symbol next to the client's name confirms that the synchronization process is active. The data synchronized to Mywellness CRM from Sportrick during the initial synchronization includes:
- Name
- Surname
- Gender
- Date of birth
- Email address
At a later stage, if provided, the following optional data will also be updated:
- Address
- Postal code
- Photograph
Integration States and Operations
From the Sportrick customer profile, access to Tracker > Integration Data. From this section, you can check the integration status and perform some operations on the synchronization process.
Integration Status
The "Status" column allows us to view information about the synchronization status. The states are:
- Enabled: synchronization is active and functioning.
- New: no data synchronization has occurred yet.
- To be updated: integration client data has been modified.
- Creation error: an error occurred during the first data synchronization.
- To be removed: integration configured to be removed.
- Error: synchronization error.
- Suspended: synchronization is suspended, client data will not be sent to Mywellness.
Operations
By clicking the INFO button, you can choose from the following options to perform some operations.
- Sync: This option performs a complete synchronization of client information and related data (Groups, Memberships, and Access Devices).
- Suspend: This option sets the status to Suspended, halting the data synchronization process for the client without deleting the Mywellness integration.
- This option allows you to reactivate synchronization later.
- Enable: This option is visible only if suspension was previously configured. It re-enables synchronization.
- Delete: Immediately removes the connection with the client file in Mywellness CRM.
