Introduction
Thanks to the integration with the hardware for access control (card readers, turnstiles, gates), it is possible to define various access types (days and times, with or without limitations) for customers that have purchased a multipack (membership, subscription or passes).
Therefore, whenever a customer attempts to access the facility or a specific area, the system will check if they are supposed to get in, according to the settings of the access type linked with their multipack.
Example: a multipack for gym members will have to be linked with an access type that has been configured to allow access to the gym at specific times on specific days.

Clients can access the facility only if:
| NO, if clients can only access the facility with a valid booking, they system will check that the access is attempted at the time of the booked slot. If that isn't the case, the customer will be prevented access. Therefore it is not necessary to plan an access type. For course enrolments, the logic is the same. Classes take place on specific days at specific times, therefore if a client has a valid enrolment onto a didactic course, access will be granted only to attend classes. To sum up, an access type is only required if clients are allowed to access the facility also when they don't have a valid booking/enrolment, though they will still require a valid multipack associated with the access type. |
Planning
To create an access type, click on Planning -> Multipacks -> Access Types.
Basic Details
- name: name that identifies the access type (e.g. off-peak, gym& spa, weekend only, gym only...);
- activity (MANDATORY): activity the access type relates to. The activity is mandatory and it needs to be created from Settings -> Activities. The activity is useful for analysis and reports. Examples of activity: fitness, spa, swimming pool...
Example: name of the access type = off-peak workout

After clicking on Confirm, the newly-created access type will appear in the table below.
To complete the configuration of the access type, click on Detail and then on Allowed Areas to add the following mandatory info:
- areas: areas where entrance is allowed by the access type
- day/s of the week: day/s of the week when access is allowed
- starting time: from what time access is allowed into the area (example: 6AM -> the first access is allowed no earlier than 6AM)
- end time: until what time access is allowed into the area (example: 9PM -> the last access allowed is at 9PM).
It is possible to add more than one access type according to necessity: e.g. from Monday to Friday access is allowed from 7AM to 10PM (click on Add), then select Saturday and Sunday from 9AM to 5PM (and click on Add).
It is also possible to create an off-peak access type: Monday to Friday from 9AM to 1PM (click on Add) and then again Monday to Friday from 2.30PM to 5.30PM (click on Add).
This means that if someone attempts to access at 2PM the turnstile/gate will not open.

How does it work? If from Settings -> Main Settings the option in the below picture has been enabled, customers with an expired medical certificate or without a medical certificate will be denied access. Conversely, if the option hasn't been enabled, the system will just notify the absence of a valid certificate at the moment of the customer's access. Please be aware that if a client without a valid medical certificate has got two multipacks valid for access, one linked with an access type that requires a valid certificate and another that doesn't, the client won't be blocked, since the system will register the access through the multipack that doesn't require the certificate.

Deletion of an Access Type
It is only possible to permanently delete an access type if it has been just created, otherwise if you click on the Delete button, the system will automatically store it and a padlock icon will appear. Once stored, it will no longer be active but previous access records linked with this access type won't be lost.
It is however recommended not to delete an access type from the planning but just to delete if from the details of the multipacks it has been linked with. Again, if access records are present, the system will store it rather than delete it but customers with that multipack will no longer be allowed to access according to the stored access-type rules. If a new access type is added to the multipack, future access will refert to the configuration of the newly added access type.
