In the main page of the user profile there is a list of all the subscriptions of the user with their validity and cost. 


 

Every enrolment is indicated with its starting/end date and its cost. An icon defines the status:


ACTIVE
ACTIVE AND UNPAID
EXPIRED
EXPIRED AND UNPAID
REFUNDED


To see all the info about the enrolment onto a course, open the user's profile and click anywhere on the row corresponding to the course. 

Info

Details about the course (purchase date, total, description, expiry date, notes) 


Classes

In this section you can find a list of all the classes of the course. By clicking on the Detail button it will be possible to specify the attendance or absence for a particular class, as well as assign tags (useful as filters) and add notes about that class.

         

Each class is identified by an icon indicating the following:

the person attended the class
the person didn't attend the class
scheduled class


Booking Catch-Up Classes

If correctly planned (see manual), every time a catch-up class is booked, the system should automatically assign the corresponding tag.  This tag is useful to differentiate regular attendees from people that are catching up after missing a class. It is also useful for reports and analysis purposes.


The Delete button allows to cancel the user's reservation of a catch-up class
 

(and consequently the catch-up can be rebooked through the corresponding button on the right-hand side of the screen)




Renewal


The enrolment can be renewed through the Renewal button on the right-hand side of the screen. 

 

The enrolment will be renewed onto the next available course (if planned) at the same conditions of sale.

The system will provide a summary with the possibility of editing the final price or apply a discount. by clicking on the Detail button 


The logic to find a course for renewal is the following:

  1. the system looks for a course with the following characteristics:
    1. it starts after the end of the current course 
    2. it has been planned within the same season of the current course
    3. it has the same duration (trimester, semester...)
  2. in case no course corresponds to the criteria, it will pick a course in the following season with the earliest starting date and the same duration of expiring one

Accounting Details


In the summary table under the Info section, click on the Detail button to open a new detail window

  1. click on Accounting to check/edit accounting details (through the Edit button):
  • Price
  • Sale Date
  • Payment Due Date
  • Seller
  • Enable Web Payment: click on YES to enable the client to pay outstanding amounts related to this course via the E-Commerce profile 

Change of Course


In the summary table under the Info section, click on the Detail button to open a new detail window


On the right-hand side of the screen you will find a button under the General section to change course (click here to see how to enrol the customer onto another course)

Refund the Course

In the summary table under the Info section, click on the Detail button to open a new detail window


On the right-hand side of the screen you will find a button under the Actions section to refund the cost of the course.  

The customer will be refunded the remaining amount of the course calculated on the number of classes left. However, it is possible to edit the amount to be refunded and the date of cancellation of the enrolment. If the box is selected, a coupon worth the amount of the refund will be issued (it can be found in the Payment section of the user profile). 

Please note that for the refund of courses that take place more than one day per week it will be necessary to click on the Detail button of each course and proceed with the corresponding refund. This is because the system offers the possibility to keep the enrolment for a day of the week (example: Tuesday) and get the refund for the course taking place on the other day of the week (Thursday).
