1. Introduction

The system will renew the multipack automatically taking into consideration the following aspects:

  • the price will remain the same
  • the duration will remain the same 
  • the date of renewal will be the day after the deadline for the cancellation noticeIf the cancellation is forced after the deadline, it wil be necessary to manually delete the renewed multipack. 


2. Activation of the Automatic Renewal

How to Activate the Automatic Renewal and How to Configure the Cancellation Notice

To enable the automatic renewal, click on Planning -> Multipacks -> Details -> Automatic Renewal and select an option to configure the deadline for the cancellation of the automatic renewal of the multipack:


  • use default setting: the system will use the default value as cancellation notice. This option can be useful to keep the same renewal-cancellation notice for all multipacks. The default value can be configured from the VAR portal by clicking on Managed Environments -> View More -> Configurations -> Settings -> insert the word "renew" in the search field and click on Modify next to the following two options to configure the desired values:
Auto renew: time before due date (time type)deselect the default box and select the desired option from the menu:
  • days: giorni
  • weeks
  • months
  • years
  • period
  • season

"Auto renew: time before due date (time amount)deselect the default box and type in the the desired value (example: weeks 2 means that customers will have up to 2 weeks before the multipack expiry date to notify their intention to cancel the auto renewal and avoid being charged for the renewed multipack).
  • notice period: deadline to notify the cancellation of the automatic renewal of the multipack. This option can be used to configure a specific deadline which is different from all the other multipacks. 

 

Example that show how to configure the notice period for the cancellation of the automatic renewal


Example: the multipack expires on the 2nd of April and the renewal takes place on the 3rd of April
1 day 
customers can cancel the auto-renewal by the 1st of April
0 days
customers can cancel the auto-renewal up until the last day of validity of the multipack, which is the 2nd of April

Don't forget to save the changes!!!


How to Enable the Cancellation of the Automatic Renewal from the E-Commerce


Please remember to make sure that in the "more" section of the multipack's details the option to renew the multipack from the E-Commerce is not marked, since the renewal process will be automatic and there won't be any need for the customer to manually renew their multipack.

3. Result in the Front Office


With each automatic renewal, the system will add the items listed below in the user's profile of the customer whose multipack has been automatically renewed:

the renewed multipack
the automatic renewal follws a process that self-activates during the night, therefore the renewed multipack and the corresponding due payment will appear in the user profile on the morning after the deadline for the cancellation of the automatic renewal.
Example: if the multipack expires on the 30th of September and the deadline for the cancellation of the automatic renewal is 15 days before the multipack expires, the renewed multipack and the corresponding amount to be paid will appear in the user profile on the morning of the16th of September.

the pending payment for the renewal

a CRM task in the corresponding section of the user's profile with the following characteristics: 
  • task type: automatic renewal
  • outcome: renewed

this helps extract from Report -> Marketing all those customers that have automatically renewed their multipack within a precise time frame.
